This policy explains what we collect when you use this website, request a fulfillment quote, or sign in to our merchant portal — and what we do with it.

1. Who we are

2. What we collect

When you request a quote. The form asks for:

  • Your name, email address and phone or WhatsApp number;
  • A link to the product you sell, and details of variants and packaging;
  • Your current product and shipping costs, destination countries, expected daily order volume and any promotion structure you use;
  • Anything else you choose to put in the notes field.

Much of this is commercial rather than personal information, but it is tied to you, so we treat it with the same care.

If you have a portal account. Your name, email address, role and sign-in activity. We use passwordless sign-in links, so we do not store a password for you.

When you use the site. Our error-monitoring tool records technical information automatically, including your IP address, browser and device details, the pages you were on, and a recording of your interactions with the page (a "session replay") when an error occurs. This helps us find and fix faults.

Fulfillment data. Once you are a client, we process the order and delivery details you send us, which include the names, addresses and contact details of your customers, so that parcels can be picked, shipped and tracked.

3. How we use it

  • To prepare your fulfillment cost analysis and respond to your enquiry;
  • To source, store, pack, ship and track orders, and to handle returns;
  • To operate your portal account and keep it secure;
  • To send service messages such as quotes, sign-in links and order updates;
  • To monitor, debug and improve the website and portal;
  • To meet our legal, tax, customs and accounting obligations.

We do not sell your personal data, and we do not use your commercial figures to benefit a competitor.

4. Our legal grounds

Where data protection law such as the UK or EU GDPR applies, we rely on: performance of a contract (delivering the services you ask for); our legitimate interests (responding to enquiries, securing and improving our systems, preventing fraud); and legal obligation (tax, customs and accounting records).

5. Who we share it with

We share data only where it is needed to run the service:

  • Factories and suppliers in our network, to quote and manufacture your products;
  • Carriers and logistics partners, who receive delivery details for each parcel;
  • Technology providers who host and support our systems — cloud hosting, our database, transactional email, background job processing and error monitoring;
  • Professional advisers and authorities, where the law or a customs process requires it.

If you submitted your request through a partner or community referral link, that partner is told that you enquired, so they can support you and so any referral arrangement can be settled.

6. International transfers

Fulfillment is an international business. Your data — and your customers' delivery details — will be processed in the countries our warehouses, factories, carriers and technology providers operate in, which include China, the United States, the European Union and Singapore. Where we transfer personal data out of the UK or EEA, we rely on appropriate safeguards such as the standard contractual clauses.

7. How long we keep it

Quote requests that do not become clients are kept for [RETENTION PERIOD, e.g. 24 months] so we can follow up and understand demand. Client and order records are kept for as long as you are a client and then for the period our tax and customs obligations require. Error and session replay data is kept for a shorter period, in line with our monitoring provider's retention settings.

8. Cookies

We use a small number of strictly necessary cookies, principally to keep you signed in to the portal and to protect against request forgery. We do not currently run advertising or cross-site tracking cookies on this site.

9. Your rights

Subject to local law, you may ask us for a copy of your personal data, ask us to correct or delete it, object to or restrict how we use it, or ask for it in a portable format. Email [PRIVACY CONTACT EMAIL] and we will respond within the time the law allows. You also have the right to complain to your data protection regulator.

Where we process your customers' details, we do so on your instructions as your processor. Their requests should come to you in the first instance, and we will support you in answering them.

10. Security

Access to the portal is restricted by role and protected by passwordless sign-in. Data is encrypted in transit. No system is perfectly secure, but we take reasonable technical and organisational measures to protect what you share with us.

11. Children

Our services are for businesses. They are not directed at children, and we do not knowingly collect data from them.

12. Changes

We will update this policy as our services and providers change, and will revise the date at the top when we do.
